SAPERION(R) Expands Cooperation with Oce Document Technologies

Apr 23, 2001, 01:00 ET from SAPERION Document Management Solutions

NEWTON, Mass. April 23 /PRNewswire Interactive News Release/ -- SAPERION
Document Management Solutions of Berlin, Germany and Boston, USA, and Oce
Document Technologies (ODT) from Konstanz, Germany and Bethesda, MD, have
expanded their international cooperation in the field of Document and
Knowledge Management with an emphasis on intelligent form recognition and
classification. The two companies have been working together for a
considerable time, prior to this announcement. The ODT product, DOKustar, for
automatic document image classification and indexing has been integrated into
SAPERION(R) as well as implemented in numerous international projects.
On the basis of the signed cooperation agreement, SAPERION(R) and ODT will
benefit in the future from the projected growth potential in the global market
for document-based knowledge management. This would be realized by creating a
holistic knowledge base and the optimization of document workflows - from
capturing to intelligent evaluation and assignment to auditable storage and
retrievable. "With the integration of external components in SAPERION(R), we
are relying strictly on worldwide leading technologies," says Dr. Mathias
Petri, Chief Sales & Marketing Officer of SAPERION AG. "Our decision to move
forward with our cooperation agreement with ODT was boosted by ODT's RecoStar
Professional Plus being awarded 'Product of the Year 2000' by the US magazine
'Imaging and Document Solutions.' By integrating automatic classification,
SAPERION(R) guarantees that all the core processes for document-based
knowledge management are covered 'all in one.'"
The ODT classification module in SAPERION(R) checks the incoming
correspondence in the inbox, faxes, e-mails or images and assumes their
automatic distribution to the corresponding user or department. The documents
are first examined for pre-defined criteria and then classified
hierarchically. This means that initially an attempt is made to sort incoming
invoices which can then, in a subsequent step, be classified according to the
 invoicing company (company name).
With the enormous variety of popular layouts for invoices, bills of
lading, newspaper articles, faxes, etc., the module assumes the task of
distinguishing the important from the non-important. This makes it possible
to delegate a major portion of the previously manual labor to powerful
software and to circumvent the data entry, a significant bottleneck in current
 DMS technology.
The procedure differentiates between the types of documents using certain
unique characteristics which can be defined by the administrator in a document
editor designed specifically for this purpose. A very powerful ICR Engine
serves as the basis for this analysis; the engine is able to locate words,
phrases, sets of words, and regular expressions under very difficult
conditions in a predefined area, and then interprets them. In this way every
type of document is defined by a number of such properties, so-called document
descriptors. The individual properties found may be linked to one another
with the logical operators "and," "or," or "not."
Along with words and phrases, which have to be contained on the page of a
document type, one can also define 'exclusion' words, which may not be on the
page. For instance, to describe a billing form, it is not sufficient to have
just the word "invoice" on the page, but an additional requirement must be
that the word "reminder" be excluded. Developing a reliable document
descriptor will therefore be a task that requires a precise analysis of the
individual requirements in advance. However, once this task is completed, the
system is able to assign unknown documents to the appropriate document class.
SAPERION has been developing software solutions for archiving and document
management since 1985 and is positioned as a technology leader for enterprise-
wide Knowledge Management. Along with the European headquarters in Berlin and
additional competence centers in Germany, there are also International
Technology Centers (ITC) in Boston, Toronto and Singapore. The product line
SAPERION(R) is "all in one, ready to run" - an integrated software package for
capturing, imaging, COLD, digital signatures, DMS, storage, archiving, email
management and records management and DocFlow. In addition, the product
portfolio includes ICR/OCR, classification, full-text databases and content
and link management. SAPERION(R) is multi-platformed and can be completely
integrated in MS Office, MS Outlook and Lotus Notes, ERP systems like SAP R/3
or Navision. Through the Web Gateway, SAPERION(R) supports decentralized
Knowledge Management solutions via Intra-/Internet. According to the US
organization, Doculabs(R) Report 2000, SAPERION(R) attains the best marks in
the categories of general DMS functionality and integration, administration
and flexibility, system architecture and e-Business integration. SAPERION
supports about 110,000 users around the world in over 6,000 installations.
