This period is still an extremely busy time for employers. Here are some last-minute tips to ensure that the open enrollment period is a successful one.
Keep it simple. Make sure open enrollment is top of mind for employees with friendly, conversational updates and reminders. Read all correspondence aloud to make sure the language is not too complex. Create a single-page tip sheet with a bulleted list of enrollment instructions and where to go for more detailed information.
Personalize correspondence. Although mass email blasts are the quickest way to disseminate last-minute benefits information, be sure to speak to employees as individuals. Use the word "you" for a personal touch!
Make a display. Don't just rely on sending emails right before open enrollment. Hang flyers and posters by the water cooler, in the breakroom, throughout the cafeteria, and down the hallways. Make them colorful and engaging to attract attention.
Be resourceful. Chances are, no matter how concise and engaging the benefits information may be, employees will still have questions and require reassurance that they are following instructions. Employers need to act as the ultimate benefits resource—and most of all—not lose patience during this critical time.
Promote hardly used benefits. Take this opportunity to catch employees' attention with some information they may not have previously paid attention to. Assemble a list of those benefits that employees typically don't take advantage of: HSAs, commuter benefits, wellness programs, and pet insurance, to name a few. Emphasize the advantages and provide information about how they can enroll.
Lunch and learn. Have one last meeting to review benefits changes and deadlines—with a free lunch. Technology is great, but it should be supplemented with personal exchanges of information. Employees will feel valued and appreciate the effort.
