Grand Victoria Casino Automates Business Processes with API Solution
Expects to speed processing, reduce costs and address audit needs
BOCA RATON, Fla., Feb. 10, 2014 /PRNewswire/ -- Advanced Processing & Imaging (API), a developer of document management and business process automation software, today announced that Grand Victoria Casino in Elgin, IL selected API's OptiWorkFlow and OptiView solutions to help automate all the legacy paper workflow and record retrieval and retention processes, starting with their procurement process that includes purchasing, receiving and accounts payable.
Grand Victoria Casino uses Redrock Software's Procurement System and Microsoft (NASDAQ: MSFT) Dynamics GP for Accounts Payable but needed a workflow automation and document management solution to drive the entire process—from the original request to making payment against invoices. One important requirement was to be able to link all the associated paper documents such as multiple estimates, packing slips, and invoices to system information including requisitions, purchase orders and checks. Another requirement was being able to track single checks that addressed multiple invoices as well as multiple checks processed against one invoice.
API's solution was the winning ticket that not only tied everything together, but also integrated with Dynamics GP to make the process faster and smoother. "We evaluated a number of solutions but we chose API's solution because it delivered the best end-user experience, met the goals and requirements of our IT staff and was the most cost-effective" said Anthony "Gus" Gustafson, Director of Information Technology at Grand Victoria Casino. Gus also explained "Automating our purchasing and AP processing workflows with the API solution are just the first step. We have so many other business processes we're looking to improve and we want to create an enterprise-wide records retention and retrieval solution for the entire casino with API as our business partner." Grand Victoria Casino manages tens of thousands of paper documents daily, stored both on their property and in their warehouse and Gus believes they can eventually convert from paper documents to digital images and still address compliance and auditing needs.
"Grand Victoria Casino like all of our clients are realizing the inefficiencies, cost and risk that paper-based processes place on their operations" said Juan Rodriguez, API CEO & President. "With API's workflow automation and document management solution, our clients significantly reduce business processing time, increase productivity and accountability and reduce costs—all helping improve their top and bottom lines."
